DEPOSIT & MONTHLY PAYMENT SCHEDULE

Initial Deposit

A $200 non-refundable and non-transferable deposit per person is required at registration to secure your reservation. Registration opens September 1, 2026, and will remain available throughout September, subject to hotel availability.

Once the completed registration form and deposit have been received and processed, guests will begin the monthly payment schedule for their selected package.

Monthly Payments

After the deposit, the remaining balance is divided into four scheduled monthly payments from October 2026 through January 2027. The monthly amount is determined by the selected package, room category, and occupancy as shown above.

Guests may make larger payments, submit additional payments between scheduled due dates, or pay the balance in full early without an early-payoff penalty. Any remaining balance created by approved reservation changes, occupancy changes, supplier adjustments, or payment timing must be paid by the final payment deadline.

Alternative Payment Arrangements

Guests who need a different payment arrangement should contact Donaldson Luxury Travel directly. Any alternate arrangement must be approved and does not change the applicable cancellation terms or final payment requirement.

Payment Methods

Payments may be made through the secure online/card payment option, Zelle, or Cash App after registration and payment instructions are provided. Card payments may include a processing fee. Zelle and Cash App payments do not carry a Donaldson Luxury Travel processing fee.

IMPORTANT TRAVEL INFORMATION

Airport & Airfare

Guests should arrange flights into Cancun International Airport (CUN). Airfare is not included in the package and is not being purchased or managed by Donaldson Luxury Travel for this group. Guests are responsible for purchasing their own flights and reviewing airline rules, baggage fees, schedule changes, and ticket restrictions.

​

A separate flight-information link will be released closer to travel. Every traveler must submit accurate arrival and departure details by the announced deadline so included round-trip transfers can be coordinated. Failure to submit flight information on time may result in the guest having to arrange and pay for transportation independently.

​

Passport & Entry Requirements

A valid passport is required for international travel. Each guest is solely responsible for confirming the documents required for entry into Mexico and return to their home country based on citizenship, residency, and personal circumstances. Donaldson Luxury Travel does not determine visa eligibility or guarantee entry. Guests should verify requirements with the appropriate government authorities well before departure.

Weather & Packing

February in Cancun is generally warm and tropical. Guests should pack lightweight resort clothing, swimwear, sandals, sun protection, comfortable walking shoes, evening attire, and any prescription medications in their original packaging. Specific attire guidance for the Sunset Cruise Welcome Party and Kadi’s Birthday Celebration will be released closer to travel.

Currency & Personal Expenses

The local currency is the Mexican Peso. Major credit cards are commonly accepted in tourist areas, and U.S. dollars may be accepted at some locations. Guests remain responsible for optional excursions, spa services, gratuities, premium upgrades, personal purchases, baggage charges, airfare, and any other item not specifically listed as included.

TRAVEL INSURANCE | STRONGLY RECOMMENDED

International travel is a meaningful financial investment, and unexpected events can occur before or during travel. Donaldson Luxury Travel strongly recommends that every guest purchase comprehensive travel insurance to protect against eligible losses and disruptions.

​

Depending on the plan selected, travel insurance may provide benefits for covered trip cancellation or interruption, medical emergencies, emergency medical evacuation, baggage loss or delay, travel delays, missed connections, and certain weather-related disruptions. Coverage varies by provider and policy, and no plan covers every circumstance.

​

For the broadest range of available benefits, guests are encouraged to purchase insurance promptly—preferably within 14 days of making the initial trip deposit—because some policies make certain benefits or pre-existing-condition waivers available only within a time-sensitive purchase window. All eligibility and coverage decisions are made by the insurer under the terms of the selected policy.

Recommended Insurance Providers

Guests are strongly encouraged to protect their travel investment with travel insurance. Coverage may be compared through established providers such as Allianz Travel Insurance, Travel Guard by AIG, Generali Global Assistance, and Faye Travel Insurance. These providers are listed for comparison purposes only and do not represent a guarantee of coverage, claim approval, or suitability.

Guests who choose to decline travel insurance will be required to acknowledge their decision during registration and accept responsibility for expenses or losses that may otherwise have been eligible for coverage, including cancellations, trip interruptions, medical expenses, transportation delays, and baggage-related issues.

Donaldson Luxury Travel, the host, resort, and participating suppliers are not responsible for losses that may have been protected through an appropriate travel insurance policy. Insurance coverage and all claim determinations are subject solely to the terms and decisions of the selected insurance provider.

DLT DEPOSIT & CANCELLATION POLICY

Travel dates: February 5-10, 2027
Non-refundable and non-transferable deposit: $200 per person

Clients and guests must be aware that cancellation penalties vary depending on when a written cancellation request is received. The $200 per-person deposit is non-refundable and non-transferable. Additional amounts retained are based on the following schedule and are calculated from the February 5, 2027 departure date.

August 10 - October 8, 2026 | 179-120 Days Before Departure

Fifty percent (50%) of the total trip price will be retained and is non-refundable and non-transferable.

October 9, 2026 - January 5, 2027 | 119-31 Days Before Departure

Eighty-five percent (85%) of the total trip price will be retained and is non-refundable and non-transferable.

January 6 - February 4, 2027 | Within 30 Days of Departure

One hundred percent (100%) of the total trip price will be retained and is non-refundable and non-transferable.

Cancellations & Reservation Changes

All cancellation requests must be submitted in writing by email to info@donaldsonluxurytravel.com and must include the traveler’s full name, the trip name “Kadi’s 60th Birthday Celebration,” and the travel dates February 5-10, 2027. If acknowledgment is not received within 48 business hours, the traveler should contact Donaldson Luxury Travel by phone.

Reservation changes, including name changes, occupancy changes, room-category changes, arrival/departure date changes, and substitutions, are subject to supplier approval, availability, current pricing, and any applicable change fees. If one traveler in a shared room cancels, the remaining traveler(s) may be responsible for a change in occupancy and package price.

​

Airfare purchased independently is governed by the airline’s separate fare rules and cancellation policies. Donaldson Luxury Travel cannot waive supplier penalties or guarantee refunds outside the applicable cancellation terms. Comprehensive travel insurance is strongly recommended.

 

Group Reservation Information

Kadi and her family are serving as the hosts of this milestone celebration. Donaldson Luxury Travel manages the travel arrangements on behalf of the group. If the hosts modify or cancel a group event, every reasonable effort will be made to secure comparable arrangements or applicable supplier refunds. However, all refunds remain subject to supplier terms and conditions. Donaldson Luxury Travel cannot guarantee refunds beyond those authorized by the travel suppliers. Individual guest cancellations remain subject to the cancellation schedule above.
